Portable backdrops for events

The best backdrop is the one your team can really carry through the venue. Start with the journey, then work back to the look.

Who is carrying it?

Think through the whole trip before you think about the artwork. Is it one person on a train, two in a van, or a crew at a venue with a loading bay? Is there a lift, and how narrow is the back stairs if there is not? A backdrop that needs two people and a car will not suit a solo presenter who travels by Tube.

The main options.

Worked example: a 3m speaker backdrop

Two 1500mm roller banners give you about 3000mm of width, and they set up in minutes. The catch is the join down the middle. Keep the speaker's head and any logos away from the centre line, or use a design that repeats, so that a thin gap does not matter. Also measure your car before ordering, as a 1500mm base is a long item and may not lie flat in a small hatchback.

A 3x3 pop-up gives one continuous image instead. It takes longer to build and the case is a bigger thing to lift, but it looks more like a fixed wall.

If cameras are involved

Shiny surfaces throw flash straight back into the lens. For photo calls and filmed talks, ask for a matt surface. Fabric is the safest choice here, and our page on fabric or PVC backdrops goes further. Repeat logos in a pattern, so that a tight crop still shows at least one.

Checks at the venue

  • Ceiling height at the exact spot, not the hall in general
  • Whether anything may be fixed to walls or truss
  • Any rules on materials, which venues can set for fire safety reasons
  • Power sockets and the fire exit behind the backdrop, which must stay clear

Ask the venue's event team for those answers in writing before you choose. If the backdrop will stay in one place or needs to be much wider, look at full backdrop printing instead.

Useful to know

Your questions.

Can a backdrop be used both indoors and outdoors?

PVC copes with both. Pop-up stands and roller banners are made for indoor use and will catch the wind outside.

How wide does a backdrop for a group photo need to be?

Allow extra width on both sides of the group, as photographers often stand back and frame wider than you expect. Ask your photographer what they need.

Can fabric backdrops be folded?

They can, but crease marks may show under strong light. Rolling is kinder if you have the space. Ask us about the material you are choosing.
