Print project management
Keep a multi-part print project organised from brief to delivery.
Event agencies deal with dozens of printed items, several approvers and a venue that gives access for only a few hours. This page is for producers and account teams who want print for event agencies to feel like one job instead of many small ones.

Every event print job should begin with a single spreadsheet. Give each item a code, then list size, material, finish, quantity, location in the venue, artwork owner and approval status. Designers, clients and production all work from that one document, and last minute questions get quicker answers. Sharing it with us early supports our print management approach, where items of different types are planned together. It also shows which items depend on late information, such as speaker names, so those can be left until last.
Venues decide far more than people expect. Their rules may cover fixings on walls, the materials allowed, fire certificates and how goods reach the room. Read the exhibitor or event manual carefully, and ask the venue about anything unclear. Check loading bay slots, lift dimensions and door widths against the largest piece. A long backdrop might need to arrive rolled, and floor graphics may need approval for the surface and slip performance. Fire requirements should come from the venue itself.
Multi-stakeholder approvals are where event timelines fail. Name a single person with sign-off authority on the client side, and use a version number in every filename. Ask sponsors for logos when contracts are signed, as they are often the last thing delivered. Plan the end of the event as well. Decide what happens at strike: what gets stored for next year, what can be recycled and who collects it. Reusable hardware from our exhibition displays range can return with new graphics at the next event.
Talk to us about how your agency likes to work, including client contact and delivery paperwork. We can discuss what is practical for your project before the schedule is agreed.
As soon as the venue and rough item list are known, even if artwork is unfinished. An early look at sizes and materials can reveal issues with the venue or budget while there is still time to adjust.
